Employers that use Ganymedus must tell their people how it processes their data. Copy this text, fill in the parts in brackets, remove what you do not use and give it to your team before they start (it is not legal advice; check it with your adviser and, where one exists, your works council).

How [Company] uses Ganymedus

[Company], [address], is the controller of your data in Ganymedus. Contact: [name or data protection officer, email].

We use Ganymedus to agree who does what, keep work moving and check that delivered work meets what was agreed. Ganymedus is provided by Lingua Intellegens, which processes the data only on our instructions; its servers are in the EU (Germany), and its AI provider (OpenAI) processes the text a feature needs.

What is recorded

Why

To plan and coordinate work, to remind and follow up, to check delivered work against the criteria agreed before it started, and to measure agreed results. Legal basis: [performance of the employment contract / our legitimate interest in organizing work].

Who sees it

Your managers up the reporting line, the people who gave you work or work with you on it, and the workspace owners and administrators, each as far as their role needs.

What Ganymedus does not do

It does not make decisions about your pay, promotion or employment; people make those decisions. It does not score personal traits and does not recognize emotions. AI suggestions are proposals that a person reviews.

How long

[As long as you work with us and [period] after, unless the law requires longer.] Deleted data leaves Ganymedus backups within five weeks.

Your rights

You may ask for access to your data, a copy, correction, deletion or restriction, and object to processing based on legitimate interest. Write to [contact]. You may also complain to the data protection authority ([authority]).
